Database Wishlist

Our team has started to put together a Wishlist for items that we'd like to have in a new database system that we'll be sub-contracting out to a vendor outside of STARFLEET.  Here's what we've come up with so far among our team, please feel free to give us your thoughts on the list and suggest items for the list.

Please note that this list is over and above the current functions that our database currently has.

Communications

  • A way to quickly correct and update the mailing addresses for the membership
  • Correct the list of countries and include all states and province codes (where we know them) in the proper pull-down menus

Academy

  • Ability to assign awards to Chapters/Units (VCRP & MURP)

SFMC

  • Ability to show Members MSG/MEU in Member Eligibilty
  • Unit/BN/BDE reporting tools
  • BDE OIC Award tools
  • Unit awards distributed to Unit members
  • Ability to add same record on multiple people

Operations

  • Online VRR application and processing

Computer Operations

  • Ability to register pets and mascots for PetFleet
  • Ability to easily add new membership affiliation (SFMC, SpecOps, etc.)
  • Show membership counts for each affiliation type
  • Automated RSR like MSR reports
  • online voting for members
  • an online survey or members poll

Helpdesk

  • Ability for chapters to update their chapter information without approval
  • Ability for members to update their own information without approval
  • Abillity for the member to change their chapter assignment

CFO

  • Ability for expenses to be input.
  • Ability to connect payments to membership at point of entry

Other

  • Pop-Up once a year for Honorary and Lifetime memberships for packets.
  • A tool to reverse chapter decomms.
  • Ability to submit nominations for Awards through the DB
  • ability to validate identity to an app external to the database (perhaps authentication can be done via LDAP)
  • ability for a properly authorized external application to query the database for data
  • have a "smartphone ready" site for those who want to access/renew their membership from their portable device
Member Suggestions
  • How about a history feature? The current db has no memory. It doesn't remember if someone was on a chapter before they moved to a new one. there's no way to track that sort of thing currently. There's also no way for promotions to find out the history of when all the prior promos were granted. There's no way to see if someone had a lapse in their membership. And so on and so on.
  • Ability for SFA Academy Directors, Deans and other adminsitrative staff (linked within their permission masks) for submitting their monthly reports (Directors to Deans, Deans to Admin etc) that works similar to MSR's wherebyt he report can capture the details of the College (Directors) and Institutes (Deans) as part of said report with spaces for comments and so on).
  • Spec Ops Unit setup similar to SFMC units so that the Spec Ops units can be managed and applied within the database (with amendments of the SFMC unit sub system to fit for Spec Ops).
  • When/if this ever applies at the membership level, ability for members to select if they wish to receive membership materials (CQ, certificates, member card etc) electronically or by mail etc.
  • It has come to my notice that so many members "forget" to renew theyr membership and i would like to see something of a special Reminder something along the lines of a two week notice at least from the database is this possible someting allong the lines of "automated system".
  • Also would it be possible to have another for MSR and RSR reminder.
  • BDE roster list in one list -- 2 views-alphabetically and by unit as minimum/maximum number of views based on number of columns.
  • Add a "how did you hear about us" field on the application form (both online and hard copy) to help track where new members are finding out about STARFLEET.
  • The data layer, retrieval layer and presentation layer should be separated, not mixed like the current system is.
  • Eliminate the Instant Messaging component from the system (We received a separate suggestion to keep it, so this is something that we're going to have to evaluate the need for.)
  • Improved ways of storing passwords - passwords should not be stored as clear text in one table (as noted above, possible authentication done via LDAP)
  • All reporting should be able to be done through the database.
  • IG recording of AB Motions and Votes
  • The RC Election Process done through the database
  • An Awards feature that can be used to attach any kind of award to a member or a chapter. STARFLEET awards... Regional Awards... Academy... Newsletter... etc...
  • CO approval of members transferring to their chapter
  • 'Service Record' which shows every posting... every award...  some subset of Fleet participation. That would be a great feature for people submitting for awards, too
  • Anything listed for SFMC above to be extended out to any internal sub-group within STARFLEET, whether it be SpecOps, Rangers, etc.
  • DB has an awards function, it however needs to expand to incorporate Chapter level and Regional level awards (to compliment the Academy/SFMCA and Starfleet level awards.
  • Link Promotions to the date of promotion so it will not be shown until the date given. This allows the CO to promote members as a surprise, but not let the member know until the date of rank that has to be entered when filling out info in the DB.
  • A check-box indicating that address information is restricted solely to CompOps and Communications (for membership materials and for the CQ).
